What you'll be doing?

Reporting to the Divisional Director to support them in fulfilling their responsibilities, contributing to the overall success of the business through the provision of efficient and effective administrative support.

 
You will be expected to:
  • Work closely with the Director to ensure that tasks such as, reports, incoming post and correspondence, management of diary/meetings schedule and email, etc., are dealt with efficiently.
  • Type letters, memos, Board Reports, schedules, etc., and follow up responses if required.
  • Liaise with internal customers to ensure a smooth workflow between departments and with Head Office.
  • Monitor costs incurred by the Department or Divisional Office.
  • Perform general office administration tasks as and when required to meet the needs of the department – e.g. faxing, filing, photocopying, dealing with telephone calls.
  • Provide other appropriate ad hoc duties, and administrative support for other departments, as and when required.
What you'll need?

To be successful you will have:

  • Experience of working in a secretarial/admin role.
  • Experienced audio typist, with intermediate to advanced level of proficiency with MS Office programs and a good standard of written English. Ability to generate professional correspondence unaided.
  • Self–disciplined, with demonstrably good time management skills and the ability to manage a number of priorities.
  • Ability to multi-task, and work efficiently and accurately under pressure.
  • Team player, supportive of colleagues.
  • Professional and pleasant manner in dealing with internal and external customers.
  • Excellent telephone skills.

HR Co-Ordinator

Administration
    • Produce/co-ordinate and check all HR policy related documentation before issue e.g. maternity, sickness absence management, capability, disciplinary.
    • Act as note-taker as appropriate in HR processes e.g. disciplinary/grievance/capability.
    • Ensure the HR system is fully up-to-date and maintained.
    • Provide monthly HR reports for the Divisional board pack.
    • Maintain Divisional organisation charts on an ongoing basis. 
    • Assist with raising vacancies through the recruitment portal, advertise roles and manage candidates throughout the stages of recruitment with the support of the hiring Manager.
    • Attend interviews where necessary, supporting hiring Managers by taking notes and giving an overview of the benefits associated with the role.
    • Administration of offer letters, contracts and associated new starter paperwork.
    • Administer and process all employee change of terms and conditions.
    • Administration of long service awards.
    • Support and administer the annual salary and bonus review processes in conjunction with the Divisional Finance Director.
    • Administration of leaver letters.
    • Ad hoc HR tasks as and when required – e.g. information gathering and updating exercises.

  • Advice and Guidance on HR Policy and Process
    • Provide advice and support to hiring Managers regarding the recruitment process in terms of adherence to policy and systems usage. 
    • Provide Advice, Support and Guidance on the Company’s Performance Development Review process.
